This project paper presents the study and the developed solution for improving the operational efficiency of The Ayat Foundation, a transnational NGO operating between South Asia and Central Europe. In this regard, communication, coordination, and collaboration among teams remain extremely challenging due to geographical dispersion, cultural and technological differences, and time zones. This study employed a mixed-methods research methodology that coupled quantitative surveys with qualitative interviews to outline the core operational pain points: a lack of schedule visibility, lack of real-time communication tools, version control, and users with different digital literacy. Therefore, this paper proposes the design of a scalable, secure, and user-centric cloud-based project management system that shall meet the unique needs of the foundation. The key features focused on include a shared calendar, real-time chat and video conferencing, document manage files with version control and track issues with advanced Encryption with Role-Based access controls. Advanced AI capabilities include multilingual translation and sentiment to facilitate cross-cultural collaboration; analysis has also been incorporated. The solution will recommend Microsoft Azure cloud infrastructure with nonprofit programs, including flexible support, compliance with data protection laws, and cultural adaptations, changes in cost management strategies for its sustainability This should bridge the operational gaps in workflows, foster inclusivity, and empower The Ayat Foundation to function cohesively as an efficient international entity and ultimately enhance its impact in marginalized communities within South Asia and its services in Central Europe.
